02 - Technical plan and venue coordination

We build the technical approach - audio, LED and video, lighting, staging, show management - and coordinate floor plans, power, rigging, and load-in directly with your venue.

03 - Clear proposal

You receive a clear, proposal covering the recommended production scope, so stakeholders and procurement can evaluate what is included.

04 - Rehearsal and show-day execution

When possible we pre-build and test your setup at our Chantilly production facility, then run technical rehearsals before doors open. The same in-house team executes on show day.

Questions planners ask us

What should I include in a quote request for event production?

Three things get scoping started: your event date (approximate is fine), your venue or city, and what you need - audio, LED video wall, lighting, staging, video, show management, or full production. If you know your expected headcount, room dimensions, or whether the event is hybrid or livestreamed, include those too. You do not need a finished run of show; our producers help you build the technical plan during the scoping call.

How early should I contact an event production company?

For multi-day conferences, galas, and large corporate events in the DMV, engaging a production partner around 12 weeks out gives time for venue coordination, technical planning, and rehearsals. That said, it is never too late to ask: clients have brought TriVision in days before an event for AV support and we delivered. Earlier contact simply means more options for equipment, crew, and rehearsal time.

Where is TriVision located, and how far do you travel for events?

TriVision serves the full DMV region from its Chantilly, Virginia headquarters: Washington DC; Northern Virginia including Chantilly, Fairfax, Arlington, Ashburn, Vienna, and Clifton; and Maryland including Baltimore. Crews and equipment are dispatched from our production facility at 3856 Dulles South Court, Chantilly, VA 20151, minutes from Dulles International Airport.

Do you work at hotels and venues we have already booked?

Yes. Most of our work happens in client-selected venues - hotels, conference centers, association and government facilities across DC, Northern Virginia, and Maryland. We coordinate directly with your venue on floor plans, power requirements, rigging points, freight elevators, and load-in windows, and we maintain hotel and venue partnerships throughout the region. You book the room; we handle the production logistics inside it.

Should I use the short quote form or submit a full RFP?

Use the short form for most inquiries - name, email, phone, event date, and a description is enough for a producer to start scoping. Use the detailed intake form when your organization runs a formal procurement process: it captures venue details, event times, indoor/outdoor setting, duration, and lets you upload an RFP document. Government agencies, associations, and larger corporate bids typically take that path.

Can we see your equipment or rehearse before the event?

Yes. Our Chantilly headquarters includes a large production facility where we run pre-event rehearsals and technical testing whenever possible. Planners can schedule a walkthrough to see LED video walls, audio consoles, lighting systems, and staging before signing, and speakers or presenters can rehearse on the actual equipment ahead of show day.
