When should we bring in show management?
Ideally as soon as the agenda is drafted - four to six weeks before show day for most programs - because the biggest wins happen in planning: a realistic run of show, rehearsal time actually booked on the venue calendar, and speaker transitions designed rather than improvised. We can join later and still call a clean show, but the earlier the technical director sees the agenda, the fewer surprises survive until show day.
How many rehearsals does our event need?
Most single-day corporate and gala programs need one structured technical rehearsal plus speaker walk-throughs on show morning. Add rehearsal time when the program carries live award sequences, multiple presenters with media, protocol elements, or a broadcast feed - and for multi-day conferences we rehearse general-session turnovers as well. We build the rehearsal plan into the proposal so the venue time is booked up front, not begged for at the last minute.
Who is on a show management team?
Scaled to the program: at minimum, a show caller working from the locked run of show.
