Planning an event with TriVision

What event production services does TriVision provide?

TriVision plans and produces live, hybrid, and recorded events. Depending on the project, our scope may include event and technical planning, audio, video, LED displays, projection, lighting, staging, scenic elements, content playback, livestreaming, recording, rehearsals, and live show management. TriVision can lead the overall production or support selected areas within an existing event team.

What types of events does TriVision produce in Washington, DC, Maryland, and Northern Virginia?

TriVision supports corporate conferences, leadership meetings, association and nonprofit events, government and institutional programs, galas, press events, product launches, trade shows, town halls, executive communications, awards programs, and hybrid events. How is TriVision different from an AV rental company or venue AV provider?

TriVision provides coordinated event production rather than equipment rental alone. We connect the program, venue, technical systems, content, production planning, rehearsals, and live execution within one integrated approach. When a venue requires its own services or labor, TriVision coordinates those resources with the overall production plan.

Can TriVision work at our hotel, conference center, office, government facility, or other venue?

Yes, subject to the venue's requirements and the needs of the event. TriVision works with venue contacts to understand access, scheduling, operating policies, and required services. We then clarify which responsibilities belong to TriVision, the venue, a union provider, or another approved event partner.

Can TriVision coordinate with the venue's in-house AV provider or union labor?

Yes. Some venues require certain services or labor to be provided internally or through an approved provider. TriVision can coordinate those responsibilities, define the production boundaries, and integrate the required teams into a unified event plan.

Can TriVision work with our event planner, agency, venue, or internal team?

Yes. TriVision can serve as the lead production partner or work within an established planning structure. We regularly coordinate with planners, agencies, venue teams, communications departments, security teams, speakers, content creators, and other event partners while keeping responsibilities and approvals clearly defined.

When should TriVision become involved?

TriVision should become involved once the event date, venue, or program begins to take shape. Earlier coordination can help align the room design, production approach, content process, venue requirements, and rehearsal plan. Availability and planning requirements depend on the specific event rather than a fixed lead-time rule.

What information should we share about our event?

Helpful starting information includes the primary event date, venue, event type, anticipated attendance, room format, preliminary agenda, speaker and panel structure, presentation needs, branding, recording or livestream requirements, and any accessibility or security considerations.

Can TriVision manage multi-room, multi-day, and hybrid events?

Yes. Depending on the scope, TriVision can coordinate general sessions, breakout rooms, multiple stages, remote participants, content workflows, recordings, livestreams, and production schedules across the full program. The production structure is designed around the event rather than a predetermined package.

How does TriVision prepare for show day?

Preparation varies by project and may include venue review, technical planning, room and stage layouts, content coordination, system checks, rehearsals, run-of-show development, cue planning, and contingency preparation. The purpose is to align the client, venue, presenters, content, and production teams before the live program begins.

How are agenda or production changes handled?

TriVision reviews the requested change, determines its effect on the program and production plan, and coordinates the update with the affected stakeholders. Feasibility depends on the venue, schedule, available resources, safety requirements, and the extent of the change. The team communicates any meaningful tradeoffs before proceeding.

Can TriVision support government, institutional, executive, and accessibility requirements?

Yes, when the applicable requirements are identified and incorporated into the production scope. TriVision can work within client and venue procedures and help integrate services such as captions, interpretation feeds, assistive listening, accessible stage access, approved virtual platforms, or restricted-access production procedures.

Does TriVision provide video production, livestreaming, recording, and post-event content?

Yes. Depending on the project, TriVision can support event recording, livestreaming, remote presenters, interviews, recap videos, session edits, captioned content, social media cutdowns, and other post-event deliverables. Video and studio requirements are scoped through the appropriate TriVision production team.

LED walls and displays

How is the size and configuration of an LED wall determined?

LED walls are modular rather than infinitely adjustable. TriVision recommends the closest practical configuration based on the venue, stage design, audience sightlines, content aspect ratio, camera plan, structural requirements, and available installation area. The final configuration is confirmed during production planning.

Does TriVision offer LED poster displays?

Yes. TriVision offers standard vertical LED poster displays as well as two-sided tri-fold display configurations. These can be used for branding, sponsor content, schedules, wayfinding, trade-show displays, receptions, and other event applications. Availability and the appropriate configuration are confirmed for each event.

How do you decide between an LED wall and projection?

TriVision considers the room, ambient light, viewing distances, content, camera use, stage design, available space, venue restrictions, and desired visual effect. LED and projection each have appropriate applications, and the recommendation is based on the event rather than a predetermined package.

Who prepares the content for an LED display?

Content responsibilities are defined during planning. TriVision can work with client-provided graphics and video or provide content-design and formatting support when those services are included in the project scope. Final display specifications are provided after the LED configuration is confirmed.

AV and production equipment

Can TriVision provide audio, video, lighting, displays, and staging as one coordinated production?

Yes. TriVision can combine multiple production disciplines into one coordinated scope or provide selected services as part of a larger event team. The recommended systems are determined by the venue, audience, program, content, room layout, and production objectives.

Can we hire TriVision for only one part of the event?

Yes. TriVision can provide an individual service, such as audio, video, lighting, LED displays, projection, staging, livestreaming, or recording, when that is the appropriate role. We still review how the selected service must integrate with the venue and the rest of the event.

How does TriVision determine which equipment is appropriate?

Equipment is selected after reviewing the room, audience size, program format, content, speaker requirements, camera and livestream needs, venue restrictions, and desired audience experience. TriVision recommends the production approach rather than asking clients to choose from a fixed equipment package.

Are systems and content tested before the event?

Testing and rehearsal requirements are planned according to the event's complexity, venue access, content, and production scope. The process may include equipment checks, signal testing, presentation review, media playback testing, microphone checks, remote-speaker testing, and rehearsals.

Venues and show management

What if our venue requires certain production services?

TriVision reviews the venue requirements and helps identify which services must be provided by the venue or an approved partner. Those services are then coordinated with the broader production plan so responsibilities and communication are clear.

Does TriVision conduct site visits or technical walkthroughs?

When appropriate for the project, TriVision can review the venue with the client and venue team before the event. The purpose is to understand the room, production access, stage and screen placement, audience layout, venue procedures, and other factors that affect the production design.

What does live show management include?

Depending on the scope, live show management may include coordinating the run of show, presenter readiness, content playback, stage movement, production cues, vendor communication, and changes during the program. The required production-management structure is determined for each event.

Hybrid, livestream, and video

Can remote presenters participate in a live event?

Yes. Remote presenters can be integrated into the in-room program and virtual experience through an approved platform and production workflow. The approach may include presenter preparation, technical checks, return video, presentation content, moderation, and live coordination.

Can TriVision create a branded livestream?

Yes. A livestream can incorporate approved brand elements such as opening sequences, lower thirds, presenter layouts, holding slides, sponsor recognition, transitions, and calls to action. The visual approach is developed around the event's brand and communication objectives.

Can TriVision support captions, interpretation, and accessible event experiences?

Yes, when the applicable requirements and responsibilities are identified during planning. Depending on the scope, TriVision can help integrate captions, spoken-language interpretation, ASL presentation, assistive-listening systems, accessible stage layouts, and virtual-access services.

Can sessions be recorded and repurposed after the event?

Yes. Depending on the agreed deliverables, event recordings can be developed into full-session videos, edited presentations, interviews, highlight recaps, captioned content, social media clips, or internal communications assets.
